PROBLEM
Scheduling teams lose visibility into unfilled shifts and union-specific employee claiming processes, resulting in labour shortages and poor employee satisfaction.

A common pain point from our recurring user interviews with customers was: schedulers manually juggled unfilled shifts using spreadsheets or filters on a scheduling module, which meant a disjointed view of all unfilled shifts across the schedulers focus area. This leads to employee dissatisfaction and last-minute staffing gaps. To refine our thinking, I conducted focused user interviews to understand specific pain points and common user flows for both schedulers and shift-based workers.

INITIAL FINDINGS
Both schedulers and employees were affected by this lack of visibility into unfilled, available shifts, but both user groups had different goals.

For schedulers, the primary flow was to offer the unassigned shifts to employees and manage employee bids and claims for these shifts. For employees, the primary flow was to view, claim or bid on, and manage their interactions with unassigned shifts. These conversations helped me map out the flow of interactions between the schedulers, the shifts, and employees and helped our cross-functional team define the most critical pieces for an MVP.

CONSTRAINTS
Different customers use one of three scheduling modules, resulting in each shift having different workflows and metadata.

Working closely with engineering teams and product teams for each of the scheduling modules, I needed to deeply understand the differences and similarities between open shifts from each module. I had explored a solution where we create an open shift manager for each module, but quickly decided against that for the reason that schedulers would have to access different areas each time they wanted to manage open shifts and maintaining three extra modules was technically unviable. I unified open-shift workflows across scheduling modules by focusing on shared jobs-to-be-done, avoiding fragmented experiences and unnecessary technical complexity.

PROCESS
Working cross-functionally to ensure balance between technical feasibility, scalability, business objectives, and user goals.

Once we had a strong information architecture validated through user interviews with customers from various industries, I designed potential solutions quickly to continue refining through internal feedback and further user research. I focused on scalability as many customer scheduling teams could be dealing with hundreds of shifts in different states. To this end, progressive disclosure helped not to overwhelm users and made finding the right shift at the right time easier. Throughout the process, I collaborated closely with a global engineering team to ensure my solution was technically feasible.

OUTCOMES
Released a scalable solution adopted by three healthcare authorities and one airline to help their teams manage shifts quickly and easily.

Our solution was released in April 2024 and was adopted quickly by scheduling teams to help reduce unfilled shifts and give employees the tools they need to quickly find, claim or bid on, and manage their shifts. Continued feedback helped me and my Business Analyst counterpart identify future opportunities for a roadmap post MVP release.
